1. Hotel ballrooms - Ugh
Upcharges. Upcharges. Upcharges! Hotels are notorious for quoting you one price for an event space and then adding on charges for all the things that should be included: wi-fi, beverages, flipchart stands, audio-visual equipment, etc. And don’t get us started on bad ballroom acoustics and malfunctioning A/V equipment.
2. Co-working centers are not conference friendly
If you are locked into a co-working center's membership and think it will be easy to just use the conference or training room at the center, think again. There are typically a limited number of rooms to accommodate every company with a membership. Plus there are the additional charges for use of the room and rules that come along with the space such as no moving or rearranging furniture.
Also, these spaces oftentimes have glass walls which, while impressive, offer little or no privacy for you to discuss business information you wish to keep private.
3. Planning for food and beverages
Many spaces prohibit bringing in outside snacks. When snacks are “included” often times they often do not accommodate dietary restrictions or food allergies. If you need to provide breakfast or lunch you may be forced to choose the one caterer that the venue has an agreement with.
4. Furniture limitations
If your event is all day or multi-day, will your attendees be comfortable sitting on ballroom chairs or chairs that can’t adjust for ergonomic needs? Many hotels and co-working centers have cheaper, non-adjustable chairs and tables.
Many centers tables have fixed, stationary legs that make any movement difficult.
5. Available guest parking
Where will your attendees park? Will they have to pay extra for it? Many hotels have flat, open surface lots or confusing ramps that are intended to accommodate their overnight guests.
Your attendees will be competing for those spaces and their vehicles will be subject to whatever elements the weather brings.
